What is Vainu Connector?

Vainu Connector is our plug-and-play solution to integrate Vainu's company data into your CRM. Connector is available as an additional feature, and can be connected to HubSpot, Dynamics, Salesforce, Pipedrive, and Superoffice CRM environments. Connector syncs your existing database against our own database, and depending on your agreement and setup, it can also export entire target groups to your CRM, and keep the existing records automatically up-to-date and enrich them with new data points.

Who needs to connect integration?

The first person within an organization account who connects the integration will become the main user of the integration. This user should be an admin user on Vainu's end to be able to manage Connector's settings, and it is also recommended that they have admin-level privileges in the CRM, so Connector can create and update data fields when necessary.

Further down the road, all users who want to benefit from Connector's features, need to separately connect their personal Vainu user account into their personal CRM user account. Only a user with an active integration can see which prospects already exist in their CRM, can filter prospects based on its current status or owner within. the CRM environment, and can export new prospects from Vainu. Note that multiple Vainu users cannot connect the integration to a single CRM user.

How to connect the integration?

To connect the integration, click on the little integration icon (looks a lot like a ❄️) on the left-hand menu or navigate to https://vainu.app/connectors/crms.

There you should see a list of available CRM service providers. Click on the applicable CRM and finally select Connect Now to start connecting the integration.

The next step is to give Vainu the necessary authentication so it can access basic information and create new accounts or other objects on your behalf. If you are already logged in to your CRM environment within that same browser session, it should automatically suggest the environment to which you are able to connect the integration. If you are not yet logged in, it will first ask you to log in using your CRM user credentials.

Once the authentication is validated, you will return to Vainu. If you are the first user to connect the integration, Vainu will immediately start going through your CRM database to match accounts and companies against our own database. If you are not the first user to connect, you should see basic information about the integration such as the amount of matched organizations right away.

What are the requirements to connect the integration?

To set up the integration between Vainu and your CRM, you need to have:

  • Connector included in your Vainu agreement (with the exception of the Vainu Similar Companies feature for HubSpot users). If in doubt, please reach out to our Customer Success or Support teams.

  • Admin user rights in Vainu if you are the first user to connect the integration within your organization.

  • The necessary permissions on your CRM user to be able to connect the integration. Here are some of the key requirements:

HubSpot

Permission to Edit Property Settings in HubSpot while connecting the integration.

Make sure you are assigned to a Team, and that you have access to HubSpot Sales Hub. How to create & Edit Teams in HubSpot.

Pipedrive

Any. Note that Pipedrive's Lite plan includes only a small limited amount of custom fields which may cause issues during setup if Vainu is not able to add certain default fields.

Permissions to Use API, Add products, Edit products and Import items.

There is currently a technical limitation on Pipedrive API, which doesn't allow letters ä, ö, and å to be transferred through the API. This also affects the login process on Pipedrive integration. So if you have any of the aforementioned letters on your password, you might encounter issues when logging in.

Salesforce

Any Salesforce Edition with API Access

Permission to add data to Salesforce. Read-only rights are not sufficient. Also, access to Salesforce REST API.

What data fields are automatically created during the setup?

Vainu will automatically create certain default fields when connecting the integration for the first time. Some of these fields are commonly used data fields, some are fields that Vainu users tend to use to better manage matched companies, identify prospects that have been sent from Vainu etc.

These fields are created in Connector for all Nordic databases and for all CRM systems:

  • Vainu Custom Industry, Technographic data, Recruitment Keywords, Vainu Segment, Vainu: Auto-update status, Vainu: Turn on Auto-update, Vainu Turn off Auto-update, and Last update from Vainu.

In addition to the previous, if you are using HubSpot, these additional fields are generated:

  • Business ID, Digitality, and Imported from Vainu

In addition to the first list, if you are using Pipedrive, these additional fields are generated:

  • Business ID, Description, Inactive, ISIC Industry Code, Link, Phone, Staff number, and Turnover

These fields are created in Connector for all users of our Global Connector:

  • Company size indicator, Countries, Company summary, Hq country, Vainu Custom Industry, Technographic data, Recruitment keywords, Website traffic class, Website traffic rank, Prospect address count, LinkedIn link, Vainu link, Redirect to domain, Vainu Segment, Last update from Vainu, and Auto update status.

What is HubSpot's Vainu Similar Companies app?

Our Vainu Similar Companies application is available in HubSpot's marketplace free of charge. It is a feature that appears on the company page in HubSpot and shows lookalike prospects for that selected company. You can read more about installing Vainu Similar Companies here.
