Add settings in Vainu to export companies and target segments from Vainu to your CRM to keep your CRM data up to date.

Data management or data mapping means defining the information you want to sync between Vainu and your CRM system, i.e., mapping the data fields in your CRM to the data fields in Vainu. You essentially set up the correct export settings for the data you'll export from Vainu to your CRM either automatically or manually.

1. Why is data mapping required

Data mapping is required for you to be able to:

  1. Export companies to CRM. Select data fields to be created when you export a company from Vainu to CRM.

  2. Enrich your CRM records with new data points and keep CRM data up to date with automatic or manual updates.

With automatic data updates, you can select which CRM fields you want to be updated automatically when the information for the company changes.

  • You can choose if you want to overwrite existing CRM records with Vainu’s data always or only if the data field in your CRM is empty or previously updated by Vainu.

  • Automatic data updates are available only for Account/Company/Organization. Data mapping is set to include standard data fields by default. Standard data mapping is automatically applied to all exportable objects.

2. How to do the data mapping on the Data management tab

Data mapping is done through the new Data management tab found under the Connectors settings.

On the left-hand side, you can choose the CRM object that you want to map. The "Add CRM field" containing the name of your CRM of choice is where you add a new field to be mapped and all fields that have already been mapped can be found on the list below.

When you want to map new data, start by selecting the CRM field you want to add data to by clicking on the "Add CRM field" button. Choose the relevant field from the list or use the search field to locate the relevant field. Once the field is chosen you will see the following window.

The first section titled with the CRM's name indicates the chosen data field and its type. The field type might limit which kind of data can be mapped in the first place.

In the second section titled "Vainu", you will then select one of the data points that Vainu provides to be mapped in the selected field. Some data points might contain multiple formats, such as the official industry which can be mapped to only contain the name of the industry, the numeric code of that industry or both.

You may also fallback options, which are alternative data points that Vainu will be using if the previous data points are for any reason unavailable. Notice that you may also map the field to contain a Custom Input, which is simply a short string of text that you have defined.

Thirdly, under the "Fill" section you can decide when Vainu will have the right to populate data within that field:

  • If empty or filled by Vainu: Only when updating data to an empty field or a field that has been previously populated by data originating from Vainu.

  • Always by overwriting: Whenever data is being updated, no matter where the previous data to that field has come from.

  • Only for creating a new company: Only when a new company is exported, not when data is being updated.

Finally, you can click on "Add field" to add this newly created mapping schema into your data management settings.

Notice how you can easily view all mapped data fields and get a quick glance of what kind of data update permissions have been set to which field.

The little gear icon on the right-hand side allows you to modify settings of a single field and clicking on the trash can icon allows you to remove a mapped field altogether, meaning that field will no longer be added when exporting new companies to your CRM nor will that field be updated to existing companies in your CRM.

Please note that it's not possible to create CRM fields through Vainu. To create a field, contact your CRM Admin to create the necessary CRM fields for mapping. After the field has been created, it can take up to a few hours to be visible in the Add fields -filter.

  • Company data – This is the company's basic data received from official or other public sources such as (PRH)

    • Basic data includes Company Name, Address, Website, Business ID, etc.

    • Financial & Industry data includes Revenue, Industry (official), Industry (LinkedIn), etc.

    • Social media links

  • Contact data – Employee information. Received from official and other public sources such as (PRH, Company Website)

    • Data points include: Contact Name, Title, Email, Phone number (availability of data may vary)

  • Signals data – Export Buying Signals information as content to, for example, Leads, Tasks, or Opportunities.

    • Data points include: Signal title, Signal link, Signal content

  • Picklist values – When the selected CRM field includes picklists values, Vainu will automatically detect all available values and include them in the filter for selection.

  • Custom Input – A text field you can use to add a manual text or a phrase.

  • Technologies data – Information on the most popular web technologies that companies are using

  • Trigger event data (when included in the Vainu contract)

  • Vainu Custom Industry data (when included in the Vainu contract)

4. Mapping Vainu Custom Industry data with different CRMs

How do Vainu Custom Industries work in the Connector?

You can get custom industries that Vainu has identified with a high confidence class into your CRM. The data point is sent as a list with a maximum of 10 values. We recommend mapping Vainu Custom Industry to a multi-select picklist (with the exception of Salesforce) for easier access to filters, but you can also map the VCI data to regular text fields. In these cases, the value appears as a string, e.g., FinTech | Software | SaaS | Finance.

VCI as text fields

Vainu Custom Industry (VCI) must be included in your Vainu license to be available in the Data mapping options.

Salesforce and VCI

As a Salesforce user, you must map VCI to a field you've created in your CRM beforehand*. You can add the field you want to map the VCI to in the data mapping and then select Industry (Vainu Custom Industry) as the data point.

It's good to remember that you'll need to run a full data update after mapping VCI to get it to all your matched Accounts.

*Vainu doesn't provide the option to automatically create a multi-select field due to Salesforce's limit of 500 values. It isn't large enough to hold all our VCI values.

Dynamics and VCI

As a Dynamics user, you have the choice to either let Vainu create a new multi-select picklist*, or you can choose to map to a specific destination field yourself.

If you let Vainu create the field for you, you'll be asked if you want to run a full Dynamics data update for all your Accounts.

With HubSpot, you'll have the choice to either let Vainu create a new multi-select picklist*, or you can choose to map to a specific destination field yourself.

If you let Vainu create the field for you, you'll be asked if you want to run a full HubSpot data update for Companies.

*Note that Vainu can create the field, but you will still need to add it to your view in HubSpot to see it easily on your Company pages https://knowledge.hubspot.com/contacts/select-properties-to-show-under-the-about-section-in-a-record

Pipedrive and VCI

With Pipedrive, you'll have the choice to either let Vainu create a new multi-select picklist for you, or you can choose to map to a specific destination field yourself.
