With the help of Triggers, you can stay on top of any changes (these leads we often call Events) related to any group of companies. Once you have created a list of prospects, current customers, competitors or through any other logic, you can then stay up-to-date on their developments and proactively reach out to them when the Trigger notifies you about an Event that could result in a deal, an upsell opportunity, or you losing a customer. In short, Triggers let you know when the time is right to reach out to your target accounts.
Creating a new Trigger
π¨ To create and activate a Trigger, you first need to make sure that:
...you have a list or a custom list that you plan on using as the source list of your trigger.
...you have mapped the CRM element you plan on directing the trigger to. This is done via Data Management settings. You can ignore this step if you are building an email trigger.
Head over to Triggers and start creating your new Trigger
You can find Triggers either through this link or by clicking on the little lightning icon on the left-hand menu. Once there, you can click on the + Create a trigger button to get started.
Select a source list for your Trigger
Start by click on the Select list button to access a list of all applicable lists. Then scroll to locate your intended source list or use the search to find your list.
Select the Event categories you want to monitor
Here you determine the categories of Events that you want to keep track of and receive notifications from. Note that aside from selecting the "Any event" option you can also add multiple Event categories in one Trigger to stay on track of a selection of several interesting topics. A + button will appear once you start adding Event categories on your Trigger.

After selecting an Event category, you are then offered the possibility to add keywords to further limit your results. For example, you might only be interested in Internationalization Events related to a specific country. In that case, you can add relevant keywords either focusing on the full content of the Event, or only its headline.
π‘ Here are two useful tips that might come in handy:
We might receive relevant leads in multiple languages. It might be a good idea to add keywords both in the native language of the country database in question and in English.
You can cut keywords in the middle to allow for different suffixes, compound words, inflected forms etc. An example can be seen in the picture above.
Select the delivery destination
Next, you can click on Add destination to select how you would like the Trigger to notify you of interesting Events. The available options might depend on your contract and user permissions, but Email is always available, and users who have a CRM integration running through Vainu Connector will also see their CRM as an option. You can on any options you like.
When selecting email you only need to define the email addresses you want to send the notifications to and the subject line of these notification emails. By default, the Trigger would send emails to your own email using a subject line "We have new leads for you!" but feel free to remove and add recipients and fine-tune the subject line to be as useful and descriptive as possible!
When selecting the CRM option you are shown the default settings, but you can click on Change settings to:
change the target object and define other objects to be sent alongside
decide who should be the recipient of these Events
And very importantly...
double-check your mapping settings to make sure they look just perfect!
π€ A quick word on setting up Triggers to CRM.
The available objects depend on the CRM system you use. In the previous example the Events are sent to HubSpot as Deals, but you might also be sending Leads, Opportunities, or Tasks.
There are a few Trigger-specific fields available in Data Management settings:
Trigger: Summary: An HTML-formatted snippet containing a summary about the Trigger, the Event and the company related to that Event.
Trigger: Profile: The name of your Trigger - don't forget to edit the name to make it clear what it is about!
Trigger: Matched events: The name of the Event category related to the Event (e.g. Change of CEO)
Feel free to test around to find the mapping settings that suit your workflow best!
Select delivery frequency
We don't want to overwhelm you by sending too many tasks at once. Select the exact times and weekdays when you want the Trigger to send you notifications. Or, if you want to manage sending entirely by yourself, just select "Don't send automatically" and just export Events directly from the Trigger page.
Choose the maximum daily amount
Finally, you can set a maximum limit to how many Events you can receive per delivery. Not a fan of limits? Just select "Type amount" and throw in a generous 200 there and you should be good to go!
Activate your trigger and start receiving updates!
After all settings are defined you can click on the Activate button in the top-right corner to launch your new Trigger. All active Triggers should appear on the left-hand menu under "Active", whereas "Paused" is for storing Triggers that you aren't receiving updates from, but might revisit them in the future.
Manually exporting Events
If you opted to not receive automated notifications or just want to test what the delivery looks like, you can try exporting one or multiple Events directly from the Trigger page by following these steps:
Select the trigger(s) you want to export. Then select Send.
Select where you want to export the trigger to.
Verify delivery settings, recipients, mapping settings etc. and the selected assortment of Events.
Go check out your email for a fresh batch of Events!
